Feb 22, 2026 The bot that joins your video calls for you cosmonote.ai

Have you ever forgotten to hit the “Record” button at the start of an important meeting? You realize at the end that you captured nothing, and you’re left trying to reconstruct the conversation from memory. Or you remember in the middle of the meeting, hit the button, and miss the first twenty minutes where all the important stuff was said.

It’s the kind of small oversight that happens to everyone, but can be costly. A key decision not documented, a commitment you can’t verify, lost information you have to ask for again. All because you simply forgot to click a button at the right time.

A participant who never forgets

The solution is to have someone who remembers for you. Or rather, something. With Cosmonote, you can send a bot into your Zoom, Google Meet, or Teams meetings. It’s an automated participant that joins the call, records everything from start to finish, and sends you the transcript and summary once it’s over.

The bot appears in the participant list like anyone else. It has a name, it’s visible, everything is transparent. Other participants know the meeting is being recorded, which is important for trust and privacy. No secret recording, everyone knows what’s happening.

How it actually works

You connect your Google or Outlook calendar to Cosmonote. The app automatically detects meetings that have a video link, and sends the bot when the meeting starts. You don’t have to do anything, no link to copy, no button to click. You join your meeting normally, and the bot is already there or arrives a few seconds after you.

During the meeting, the bot captures audio from all participants. The quality is usually better than recording from your phone because the audio comes directly from the video stream, without going through your microphone and its background noise. At the end of the meeting, you receive the complete transcript with who said what, plus a summary of key points and action items mentioned.

Works for recurring meetings too

What’s really practical is that it works automatically for all your meetings, including recurring ones. Your daily standup, your weekly team meeting, your monthly client calls. You configure it once, and then every occurrence is automatically recorded without you thinking about it.

You can of course disable the bot for certain meetings if you prefer. One-on-ones with your manager, confidential conversations, personal stuff. You stay in control, the bot only joins meetings you’ve authorized.

What if someone doesn’t want to be recorded

It’s a legitimate question. Some participants may be uncomfortable with the idea of being recorded, even if it’s for notes. The fact that the bot is visible helps, because people know from the start that the meeting is being captured. They can ask questions, request that certain passages not be included in the notes, or simply ask for the bot to be removed.

In practice, most people get used to it quickly. Once they see that the generated notes are useful and nobody is using the recordings against them, the resistance disappears. It’s often the same people who, a few weeks later, ask how they can get the same thing for their own meetings.

When to prefer local recording

The bot is perfect for video calls scheduled in your calendar. But for spontaneous calls, in-person meetings, or situations where you want more discretion, recording directly from your phone remains the best option. Cosmonote allows both: the bot for scheduled video calls, local recording for everything else. You choose based on context.
